+ CRM

From first contact to invoice, prepared by the assistant.

Hegyon tracks contacts and deals, suggests the next activity, validates the Swiss UID and hands won deals straight to invoicing, you give the green light. Swiss CRM, without double entry.

01 · The problem

CRM isn't a database, it's discipline.

A lead comes in via form, email or referral. One person enters it, another calls back, the third sends the proposal. Activities scatter across the mail client, a notebook and an Excel pipeline. When the deal closes after eight weeks, master data has to go into invoicing, and no one knows exactly who said what last. With 200 active deals and five field-sales people, gaps appear every quarter that cost more than the calls that weren't made.

02 · Under the hood

What Swiss B2B CRM actually requires.

Behind the simple Q&A sits a complete CRM for the Swiss B2B day-to-day, these five points are the foundation.

  • Swiss UID validation, On capture the UID is checked against the Zefix register, no wrong company addresses, no duplicate master data.
  • Freely configurable pipeline stages, Standard stages for B2B services and product trade, adjustable per business unit.
  • Activity tracking with email sync, Calls, meetings and emails on the contact, incoming email lands automatically on the right deal.
  • Handoff to invoicing, Won deal, the first invoice stands ready, with all positions from the proposal. One posting, two effects.
  • Swiss data protection (revFADP), Personal data hosted in Switzerland, right to access and erasure audit-traceable.
03 · What you get back

5 field sales, 200 active deals, how much business you no longer lose.

An average Swiss SME with five field-sales people and 200 active deals traditionally loses two to four deals every month because a callback was forgotten, a proposal wasn't followed up, or a switch signal from an existing customer was missed. With the assistant the next recommended action per contact is visible before a human first looks. If a single lost deal is worth CHF 5'000 to you, that's avoided gaps of CHF 30'000 to CHF 60'000 per year. On top comes the effect no KPI directly measures: the field team knows in the morning what's on, instead of starting with five browser tabs.

04 · Who it is for

Who this is built for.

This CRM is built for Swiss B2B companies with five to fifty employees that work with named contacts and live on repeat business: trades and construction, technical services, consulting, distribution that needs explaining. Typically two to six people in sales, an offer that needs more than one signature, and projects that run over months.

It pays off most where recurring customers are looked after by two or three people: the gain is not a single closed deal, it is that nobody has to ask what was last discussed. The longer a relationship runs, the more an unbroken activity list carries.

05 · Switching

The move starts with a file, not a requirements document.

You export your contacts from Excel, Outlook or your current system as a CSV. hegyon maps the columns, fills in missing company details from the commercial register and shows you, before the import, what it believes to be a duplicate. Nothing is merged automatically, you decide what is the same customer. You take the pipeline stages as a template for B2B services or product distribution, or name them after your own sales process.

What follows is deliberately little: no training week, no role matrix, no approval chains to configure first. On day one the field rep asks the same question they used to ask a colleague, and gets the answer together with the prepared next action. And whatever you do not want to bring along, you leave behind: nothing forces a ten-year-old Excel column into a new form.

06 · The platform

CRM is one module — here is the rest.

07 · Frequently asked

What managing directors and sales leads ask first.

We work with Excel and Outlook today. Do we even need a CRM?

As long as a single person holds the overview, Excel really is enough. It breaks the moment two people look after the same customer: one of them made the call, the other sends the offer, and nobody sees both side by side. hegyon is less an additional database than a shared view of contacts, activities and open deals, with the next recommended action visible before anyone goes looking for it.

How do our existing contacts get in?

Through a CSV file from Excel, Outlook or your current CRM. The only mandatory field is the company name. Address, legal form and UID are added during the import from the commercial register, provided the company can be found there unambiguously. Possible duplicates are proposed, not merged silently.

Does someone have to assign incoming e-mails to the right customer by hand?

No. Incoming e-mails are matched to the contact and the open deal by sender address and appear in its activity list. When an address turns up for the first time, hegyon proposes a new contact and reads the name, role and company from the signature. It is created only once you agree.

Is the Swiss UID really checked, or is it just a field?

It is checked against the federal commercial register on capture. Company name, legal form and registered office therefore come from the official source rather than from a transcription. That prevents two things that get expensive later: misspelled company names on invoices, and two master records for the same customer.

Where is our customer data, and what about the revFADP?

Your data is hosted in Switzerland. Before anything is sent to an external AI model, our Sensitive Data Guard masks or blocks personal, contract and financial data, only the released, non-identifying content is forwarded, under no-training agreements. Requests for access and erasure under the revFADP can be evidenced through the audit chain, with person and timestamp.

Does every employee see every contact?

Not necessarily. Visibility can be set per role: the field rep sees their own customers, management sees everything, individual fields can be restricted. Every change is in the audit chain, traceable with person and timestamp.

Does it work on a phone, at the customer's site?

Yes. The contact view, the last activity and the next recommended action look the same on a phone as at the desk. A call note after the meeting is one sentence, dictated or typed, and it hangs on the right contact without anyone re-entering it in the evening.

What happens when a deal is won?

The offer becomes a draft invoice, with the same line items, the same customer and the same UID. You check it and approve. Master data is not typed a second time, and the invoice carries the company name as entered in the commercial register.
